Buyers Guide for Livestock Auction for 4-H and FFA Exhibitors

From: Sarasota County Agricultural Fair Association, Inc.

Inquiries: by email only at info@sarasotafair.com

The Sarasota County Agricultural Fair Association is committed to creating an opportunity for our youth with livestock or plant exhibits to find a resolution to their project. Our goal is to provide the auction opportunity while following CDC, Department of Health, and governmental guidelines as it regards to mass gatherings and social distancing. Please read our prior statement regarding these guidelines and we ask that if you meet any of the criteria to NOT attend if feeling ill, immune compromised, etc…

PARK AND BID IN YOUR CAR: The auction will take place as previously scheduled but outside. There will be no auction activity within a building or closed environment. Buyers may enter through Gate 5. Fair representatives will provide buyer numbers and other pertinent paperwork at entry. Buyers will be directed to park their vehicles facing the outside auction area. Hand sanitizers will be stationed throughout the outside auction area.

Please bring a pen to fill out paperwork in your vehicle. If you feel comfortable, you can sit in lawn chairs in the truck bed or on the grass. We are asking that social distancing guidelines be followed, no group larger than 10 congregate, etc…

The Fair will have speakers facing the parking area. Bidders can stay in their vehicle and wave the buyer card to bid. Spotters will be positioned to capture bids. Once an animal is sold, runners can bring documentation to the vehicle for signing or the buyer can walk to the auction control table with social distancing guidelines still advised.

PAYMENT DUE AT TIME OF PURCHASE: The purchase price is required at time of auction. Please bring your checkbooks for immediate payment. Cut and wrap charges are due at time of pickup when the meat is returned.

Once you purchase your allotment, you can leave watching out for vehicles or people walking around.

The animals will not be presented to the buyer as it will not be safe for the youth or the animal to be brought outside without a secure environment. If you wish to view an animal, please come early to view the animal in the barn.

Add-ons sent to the Fair Office will only be distributed to those bringing their animal to the fair. We strongly encourage anyone wishing to help defray the cost of the youth’s project to send the add-on directly to the exhibitor.

Buyer gifts are discouraged at time of sale due to social distancing guidelines. (Be sure to find a way to thank your buyer). Thank you letter rules per the Fair rulebook apply for fund distribution.

STEERS: Steers brought to the fairgrounds for auction must have health papers per FDACS rules for entry. The fair is waiving the auctions rules as follows:

  • Exhibitors have the option for steers that do not have a buyer to either take the animal home to seek private buyers, or send the animal to the Fair processor and receive rail price (currently around 68 cents a pound).
  • Buyer purchasing a steer has the option to send to the Fair processor or pick the animal up at a time determined by Fair Management to make their own arrangements (payment rules apply).

SWINE: Swine brought to the fairgrounds for auction must be sent to the Fair processor per FDACS rules. There is no waiving of rules for swine. If a swine does not have a buyer, it must be processed with the youth receiving rail price (currently around 30 cents per pound). We encourage exhibitors to arrange private sales, if possible, outside of the fair.

PLANT: Since the auction is at 1:00 p.m., we suggest bringing umbrellas as you will be outside. Some tables and chairs are available with social distancing guidelines to be followed.

We are doing this to try and help our youth with their livestock projects. The Fair is taking extraordinary steps in extraordinary times so that our youth do not suffer financially from circumstances beyond all of our control. Our efforts included a live stream online component to the auction but we could not work out the details in a short time frame.

Sarasota County Fair: Steer, Swine and Plant Auction

The Sarasota County Fair will be conducting an auction for the 4-H and FFA exhibitors to sell their Steer, Swine and Plant projects. The Fair realizes the time and financial commitment these youth have made in bringing their projects to fruition. Although the Fair is officially closed, we are creating an opportunity for our buyers to support the youth without creating a “mass gathering”. The Fair will allow buyers, exhibitors and immediate family to attend while still following Department of Health guidelines asking anyone that exhibit signs of sickness to not attend. We anticipate that we will not have an attendance of more than 250 people.

General Procedures: Auction order will be determined by exhibitors drawing numbers in a random drawing as they bring in the exhibits, sold in numerical order starting with #1. Since the plants have been judged, the plants will be sold in judged order. The official fair photographer, Jim Fenton, will be taking photos of Buyers.

Buyers, Exhibitors, Immediate Family: Please contact your buyers. Entry into the fairgrounds will be through Gate 5 on Pompano Ave. (front gates will be closed for no entry). Parking directions will be made at entry. No passes required. Auction rules will apply for buyers as far as payment and processing. Add-ons: The Sarasota County Fair will be accepting Add-ons from individuals or companies for the youth projects. The Add-On Form is available on our website. Please specify Steer, Swine or Plant as these are the only categories to be allowed a add-on.
An individual or company can help with a add-on to every exhibitor to defray the youth's costs. For example, a add-on can be made for every steer exhibitor for $50. 44 steer entries would equal $2200. 80 Swine exhibitors at $10 would be $800.

For Buyers: The rail price will be determined on sale day. Any funds donated above rail price is a tax deduction. For example, last year the rail price for swine was 25 cents. If you paid $2.00 a pound for a swine, then a business could deduct $1.75 a pound as a tax deduction.
